How do I check availability?
Once you submit an enquiry, we’ll check availability and confirm with you by email.
If a date is available, we may hold it provisionally while you decide.
Please note: a booking is not confirmed until payment and paperwork are completed.
When is my booking confirmed?
Your booking is only confirmed once both of the following have been completed:
- The room hire agreement has been submitted
- Full payment has been received
Until then, the booking remains provisional and the date may be released.
How much does it cost to hire a room?
Room hire prices depend on the room, day, and whether you are a club member. Current prices are published on our website.
For one-off event hire of our Danny Irvine Lounge or BTA Room the costs are as follows:
- £125 Room Hire (£100 for Members)
- A £100 refundable deposit is required
- An optional £50 cleaning fee is available
Only Club members receive a discounted room hire rate.
What is the refundable deposit for?
The £100 deposit is held against:
- cleaning,
- furniture layout,
- and any damage.
It will be refunded within 7 days after the event provided the room is returned in the same condition and layout as it was provided.
If cleaning or resetting is required and the cleaning fee has not been paid, some or all of the deposit may be retained.
Do I have to pay the cleaning fee?
No — the £50 cleaning fee is optional.
You can either:
- clean and reset the room yourselves, or
- pay the cleaning fee and we will take care of it for you.
Many people choose the cleaning option due to late finishes, but the choice is yours. In most cases, this can be decided closer to the event date.
Can I bring my own food?
Yes. You’re welcome to bring your own food, including buffet-style catering.
We can provide trestle tables if required. Tablecloths are not provided.
Unless the cleaning fee has been paid, all food waste and rubbish must be removed at the end of the event.
Can the bar be staffed?
Yes. The bar can be staffed by us.
The main bar downstairs may also be open at the same time. If you have specific requirements, please let us know when making your enquiry.
Can we access the room early to set up?
If the room is not in use earlier in the day, we will do our best to allow early access for setup.
Early access cannot be guaranteed and depends on other bookings and club activity.
Can cleaning be done the next day?
No. All cleaning and resetting must be completed on the same day unless the cleaning fee has been paid or an alternative arrangement has been agreed in advance.
How do I pay?
We prefer payment by bank transfer. Full payment instructions are included in the room hire agreement.
If your bank has difficulty recognising our details, ensure the full company name is entered and follow any prompts your bank provides to refine the name.
Cheques may be accepted by prior arrangement.
What if I complete the agreement but don’t pay straight away?
Your booking will remain unconfirmed until payment is received. We cannot guarantee availability until both the agreement and payment are completed.
Do you provide DJs or sound equipment?
We do not hire equipment directly.
However, we are happy to recommend a DJ. We currently recommend Charlie’s Disco 07721 184848.
Are you licensed for wedding ceremonies?
We are not licensed for legal wedding ceremonies.
Many couples choose to complete the legal ceremony at a registry office or church and hold their celebration with us afterwards.
Is anything else happening at the club during events?
Brixham RFC is an active rugby club. There may be:
- youth or senior matches earlier in the day, or
- other club facilities in use at the same time.
This will not affect your private function room.
If I would like to book the room for longer than the standard time slot can I pay extra to do so?
Yes. Subject to availability we may be able to extend your booking for an additional fee or allow you to book more than one time slot.
